Tax Preparer Assistant to the Owner

Seasonal Position

Full-Time

$12-$14 hr

Key Responsibilities:

1. Client Interaction:

• Schedule appointments and manage the calendar.

• Answer client inquiries via phone, email, or in person.

• Collect and organize client documents (e.g., W-2s, 1099s, expense reports).

2. Document Management:

• Ensure all client documents are securely stored (digital or physical).

• Prepare files for the tax preparer, ensuring all necessary forms are included.

• Scan, copy, and file tax-related paperwork.

3. Data Entry and Preliminary Preparation:

• Input client data into tax preparation software.

• Verify accuracy of information provided by clients.

• Compile summaries or spreadsheets as needed.

4. Compliance and Record Keeping:

• Stay updated on basic tax deadlines and requirements.

• Ensure compliance with confidentiality regulations like GDPR or IRS Circular 230.

• Maintain records for audit or future reference.

5. Office Administration:

• Order supplies and maintain office equipment.

• Keep office clean.

• Coordinate with other preparers.

6. Client Follow-Up:

• Ensure clients have signed and filed their returns.

• Send reminders for outstanding documents or payments.

• Assist with post-filing support, such as responding to IRS inquiries.

• Stay Organized: Create a checklist for each client to track their progress.

• Learn the Basics: Familiarize yourself with common tax forms and terms to communicate effectively.

• Use Technology: Leverage tax software, CRM systems, and document management tools to streamline workflows.

• Prioritize Confidentiality: Always handle sensitive information securely.

• Anticipate Needs: Think ahead and prepare documents or resources the owner may need before they ask.
